(05) AI and Workflow Automation
Much of a team’s week goes into copying data between tools, answering the same questions and chasing routine follow-ups. We design automations that take those tasks off your team’s plate, using AI where it adds value and simple rules where they are enough.

What's included
Data entry, file handling, report generation and status updates that follow the same steps every time.
Scoring or tagging new enquiries based on their answers, so your team calls the most promising leads first.
Sorting incoming emails and form submissions, drafting replies for review and routing them to the right person.
Updating contacts, deals and tasks automatically when something happens in another system.
Keeping orders, contacts and stock consistent across your website, CRM, spreadsheets and accounting tools.
Booking confirmations, reminders, rescheduling and post-appointment follow-ups without manual effort.
Chat or email assistants that answer common questions from your own information and pass complex queries to a person.
Multi-step workflows built around a specific process, using tools such as Make, Zapier, n8n or custom code.
The approach
AI tools are good at sorting, summarising, drafting and extracting information. They still make mistakes, so we design workflows with checks: a person reviews outputs where accuracy matters, and the automation keeps a log of what it did. Some tasks are better handled by straightforward rules than by AI, and we’ll tell you when that’s the case. Every proposal depends on your existing systems and the integrations they support, so we assess that first.
How it works
We document the task step by step, including exceptions and everyone involved.
We confirm which systems have APIs or native connections and choose the simplest reliable approach.
The workflow is built and tested with real examples, including what happens when something goes wrong.
After launch we review results and adjust prompts, rules or steps as needed.
Is this for you?
FAQs
Usually not. Most automations connect the tools you already use. If a system has no API or integration options, we’ll explain the alternatives.
We use the minimum access needed, prefer official integrations and agree with you which AI services will process your data before anything is built.
Start with tasks that happen often, follow clear steps and take noticeable time each week. We help you identify these during the process review.
That isn’t the aim. Automation handles repetitive steps so your team can spend more time on work that needs judgement and a personal touch.
Describe it in a few lines and we’ll tell you whether and how it can be automated.
